COACHING AND SKATING PROGRAMS ADMINISTRATOR
Reporting to the Director Coaching and Skating Programs at the Skate Canada National Office in Ottawa, the Coaching and Skating Programs Administrator is responsible for executing the administrative functions for programs and projects of the Coaching and Skating Programs Department. This is a contract position for the period of May 15, 2013 to June 24, 2014.
Key Responsibilities
· Provides telephone and e-mail screening and responds to inquiries; reading, researching and routing correspondence; drafting letters and documents, collecting, analyzing and processing information; and providing advanced word processing skills.
· Organize, prepare and communicate information to coaches, clubs, skaters and parents regarding policies and procedures, National Coaching Certification Program (NCCP), coach training programs, skating programs and other coaching and skating program matters.
· Monitor and track financial transactions and compare to the budget.
· Maintain a master calendar of project and process deadlines for department, plan and schedule meetings, teleconferences, and liaise with other departments regarding tasks and projects.
· Prepare committee meetings or conference calls, including facility requirements and materials and serve as staff contact for committees. Attend meetings, record minutes and produce final copy according to Association’s Style guide.
· Prepare, or assist with preparing, NCCP programs and activities and other professional development activities, including facility requirements, materials, presenters, and process registration forms, payments, invoices, expense claims, assignments and certificates.
· Maintain member listings for all committees, Section Coaching Representatives, Section Course Administrators and NCCP learning facilitators.
· Organize, verify and maintain electronic and hard copy filing system of NCCP records and skating programs information and liaise with the Coaching Association of Canada (CAC) to resolve discrepancies in coach records.
· Maintain NCCP Course Schedules and communicate to stakeholders.
· Prepare coach and team manager accreditation for domestic qualifying and national competitions. Verify qualifications in iMIS database and following up on discrepancies.
· Assist with activities and tasks related to program development and implementation including the Long-Term Athlete Development model.
· Assist with the preparation and coordination of coaching or skating program material required by CAC, Sport Canada and other sport or government agencies.
· Assist with monitoring program delivery at the member organization level and assist with tasks and projects focused on helping communicate and support program delivery standards.
· Assist with recording event protocol packages from events across the country.
· Help organize and execute all Members Only postings for the department as defined in the Corporate Operating Procedures.
· Perform the duties stated as a responsible employee of the Association observing and supporting all policies and procedures and planning objectives as set by the Board of Directors and observing all policies and requirements as outlined in the Skate Canada National Office Human Resources Policies and Procedures Manual.
· Represent the vision, mission and values of Skate Canada, and conducts oneself according to ethical standards generally accepted in business.
Qualifications
· Minimum 12 months experience in an equivalent administrative position.
· Experience in the sport of skating and coaching is a definite asset.

Additional Job Requirements
· Occasional travel may be required.
· Some overtime required to meet deadlines and objectives.
